Silent Shout is committed to protecting the confidentiality, integrity, and security of the data we collect, store, and process. This policy outlines how we use, store, and retain data collected through our digital platforms, including the WhatsApp service, website, and donation system.

1. Data Collection

We collect minimal personal data to enable the functionality of our services. This may include:

  • Messages sent to us via WhatsApp (prior to anonymisation)
  • Email addresses and names of donors (for receipts and legal compliance)
  • IP addresses and usage data for website analytics

2. Data Anonymisation

All messages submitted via WhatsApp are scanned using automated tools. Personally identifiable information (PII), such as names, phone numbers, or locations, is removed before being considered for public sharing. No identifying information is published or stored with shared messages.

3. Purpose of Data Use

We use collected data for the following purposes:

  • To provide a confidential mental health platform for men
  • To share anonymised messages on social media for awareness and advocacy
  • To process and acknowledge donations securely
  • To comply with legal and regulatory requirements

4. Data Retention

We retain anonymised messages for advocacy and record-keeping purposes. Original WhatsApp messages, which may contain PII, are deleted from our systems within 14 days of receipt. Donor records are retained for up to 7 years as required by UK charity law and HMRC regulations.

5. Data Security

All data is stored securely using encryption and access control. We use reputable third-party platforms with GDPR-compliant infrastructure for storage and processing.

6. Third-Party Access

We do not sell, rent, or trade any user data. Data may be shared with service providers only where necessary for operation (e.g. payment processors or cloud storage services), and always under strict confidentiality agreements.

7. Your Rights

You may request to access, correct, or delete any personal data we hold about you by contacting us at privacy@silentshout.org.

8. Policy Updates

This policy may be updated from time to time. We will notify users of significant changes via our website or service announcements.
